How Your Small Business Can Benefit From VoIP

small business | voip | long island | nyc

Small businesses are what help make the world go round! They serve their local community’s needs, which in turn helps the business grow and stimulates that town’s economy. It’s a win-win, but what a sweet victory it is when you can do that while also making the business operation run smoother. Enter VoIP; stage right.

On the Go
Many businesses have a physical location, but sometimes their employees need to be in other areas while they work. When you choose VoIP you can always stay connected no matter where you are in the country. With call routing, any phone call that would normally go to your VoIP telephone will be automatically redirected to your cell phone. Business trips just got a whole lot easier.

Team Meetings Whenever
Why have everyone in the same room for a meeting when you can just as easily hold a conference call? Thanks to VoIP you can create conference calls with the addition of software that allows you to share media on-screen. This goes hand-in-hand with allowing employees to work from home or on the road, as well as communicating with business clients.

Analytics
VoIP is great because it’s cost-effective and comes with an arsenal of features, but it also give us information. The data that VoIP software provides is important because it will show you exactly how you use the phones. This allows you to adjust your usage, make changes to your service plan, and find out how to improve your call timing. Nothing is better than free information about your business operation (besides profit, of course!)

When small businesses switch from traditional phone systems to VoIP, their business operations will run a whole lot smoother than it did before. How to Conduct an Effective Conference Call

conference call | voip | nyc | long island

Whether you’re working with another company or working with travelling members of your own, it’s important to know how to have an effective conference call. In order to do just that, follow these steps.

Before the Call
  • Plan It Out - Decide on a time that works for all participants, especially if they are in different time zones. Find a time that isn’t first thing in the morning, too close to the end of the day, or is in the middle of a lunch hour.
  • Send Requests - Send an online email notifying all attendees of the conference call, when it takes place, and any instructions they need to know in order to access the call. Also, include a small agenda with talking points so everyone can properly prepare.
  • Reminder & Remember - The morning of the call, send out a reminder to all participants to make sure everyone a) remembers, and b) is on time to the call. You’re also going to want to brush up on all of the talking points and anything you might be presenting.

During the Call
  • Begin the Call - Make sure you start the call at exactly the time that is on the invitation request. In order to be on time, head into your conference room a few minutes early to log into any sites or set up any programs you might need.
  • Stay on Track - No one wants to be on a conference call for too long, so make sure you stay on track as you follow your agenda. Make sure you cover all of the talking points, but in an amount of time that isn’t too long or too short.
  • Take Notes - A conference call consists of a lot of talking from a lot of people, so be sure that note taking is done. Oftentimes a designated note taker is recommended so all participants can focus on the tasks at hand.

After the Call
  • Recap - After the call has been completed, review your notes and create a call recap. Send this to all participants so everyone knows what needs to be done. It’s also good to have all of the information from the call documented in case there are any future disagreements.

Being able to have an effective conference call will allow all participants to communicate and receive any information they need in a smooth and easy way. Luckily, when you have a VoIP telephone system, conference calls are reliable and easy to set up. How to Easily Improve Your Internet Connection

internet speed | long island | nyc

Have you found yourself violently clicking the mouse in an effort to make your internet load faster? Unfortunately, the 50th click of the mouse is not the answer to your problems. Your connection is slow for a reason, and that reason could be something as simple as the location of your router.

Adjust Your Router
Just like your child, you want to give your internet router the best chance to succeed. Burying the unit behind furniture or on the inside of cabinets does not exactly set it up for success. You want to place your router in a central location so that it can spread its reach throughout your home. Some people find that elevated locations work the best, so try mounting the unit on a wall and then monitor the results.

Avoid Other Appliances
Any appliance that gives off a signal can be a possible deterrent for your router’s signal. Things like microwaves and cordless phones should not be in the presence of your almighty router. In today’s cordless age, this might seem impossible, but all you have to do is keep your phone conversations outside the router room.

Secure Your Wireless Channel
While you might think of yourself as a good neighbor, Wi-Fi is not something you should share. It is really just common sense, the more devices using a single router, the slower that connection is going to be. When you setup your Wi-Fi, make sure you establish a password that only you and your family have access to. This is especially important if your neighbor is some kind of crazy internet hacker!

Just a few simple tips and tricks can help solve a few of your internet woes! Whether you’re looking to improve your internet speed, bandwidth, or look into VoIP telephones, Reliable Voice & Data Systems has your back. What You Should Know About Security Cameras

CCTV security cameras

When you own or manage a small business, protecting your investment is one of the most important things you can do. By placing security cameras throughout your business’s location, you can have eyes everywhere that you’re not. There are some things you should know when installing security cameras in your business.

Quantity
Depending on how large the location is and what type of business you have, this will affect the number of cameras that are installed. You’ll want to walk through your building with a professional and map out exactly how many you’ll need and want to know that you’re protected. You’ll also want to choose a contractor that will add more cameras as your business continues to expand.

Features
All cameras are not created equal, some have more features than others. If your business’s building is rather large, then you’ll want to install cameras that have the ability to look around and be controlled. If you’re trying to keep your security system hidden, then low profile cameras will be needed. Some businesses might even want a night vision feature if they are on 24/7 and are surveilling a specific area at night.

Always Have Eyes
You’re going to want the ability to go back and view all of the cameras’ footage in case something happens. A monitoring system will allow you to rewind, fast forward, review the footage remotely, send you email alerts, and be backed up. This type of technology will allow you to rest easy knowing that you won’t miss a thing that happens at your business.

Installing a security system and cameras in your small business is a good investment that will protect your business and give you peace of mind. How VoIP Can Make Your Business Run More Smoothly

voip-phone-system | NYC | Long Island

Other than maximizing profits, the goal for a business is to make the operation run smoothly while also costing as little as possible. You can get a good start on this by adopting VoIP as your way of communicating with clients and people within your business.

Additional Features
Yes, all phone systems can make calls, but there’s so much more to communication than voice calls. With certain VoIP systems you can make calls, send pictures, make video calls, set up conference calls, send messages, etc. By being able to communicate in multiple ways, collaboration and creativity will spike since everyone will be connected at all times.

Employee Friendly
Say goodbye to the days of being stuck in one spot like you would with a traditional phone system. With VoIP, employees will be able to communicate with each other and with clients wherever they have an internet connection. There’s even an option to connect mobile devices! This will allow employees to work from wherever they need to, while also cutting down on the company’s traveling costs.

Small Fish, Big Pond
It can be hard for a small business to compete with the larger businesses in that industry. They’re going to need the most amount of capital possible to keep growing their business. They can save money by switching to a VoIP phone system, but even more money by switching to a cloud based system. When you opt for this system you won't have to spend any money on equipment other than the service itself.

Adopting a VoIP phone system for your business can help streamline activities and cut costs to help your business grow. When you become sick of having limited features and having to pay a fortune for your current phone system, contact the experts at Reliable Voice & Data Systems. Easy Ways to Improve VoIP Call Quality

voip-phone-system

So you’ve finally made the switch from a traditional phone system to a VoIP system. You’re experiencing cheaper monthly bills, more options and features, and improved call quality. However, the quality of a phone call can always be improved, especially for businesses.

Headsets Are Key
Whether you’re using a VoIP telephone or the program on your computer, many businesses will use headsets to make calling easier and hands-free. Lower quality headsets can affect the quality of the phone call and should be avoided altogether. Look for high quality headsets that are noise cancelling for the best listening experience. Wired headsets are also preferred over Bluetooth.

Direct the Traffic
Depending on your internet package, you will have a specific amount of bandwidth. The more people making calls, connecting devices, and using the internet, the lower the audio quality will be. The internet usage should be used for work specific tasks only, to reduce the amount of traffic. Otherwise, call up your internet provider and ask to increase the amount of bandwidth you receive.

Unnecessary Interference
VoIP telephones have great audio quality, but some can experience interference. The normal VoIP phone will run at 2.4 GHz, while others run at 5.8 GHz. Phones that run at 5.8 GHz tend to experience the most amount of interference. Opt for a 2.4 GHz phone to avoid any interference whatsoever.

Switching to a VoIP phone system in combination with these tips will help you achieve the best overall audio quality for your business. If you’re looking to switch to VoIP, contact the experts at Reliable Voice & Data Systems. To learn more, or to schedule a free estimate, give us a call at (877) 385-6657.

5 Ways to Cut Business Costs

business-costs
As a business owner, operating costs seem to increase with each passing day. This can be tough to handle, especially if the business is just starting or isn’t experiencing a lot of growth right off the bat. The solution to save more money is to cut expenses that you don’t need or can find more cost-effective alternatives for.

  1. Email Only - Small expenses like stamps, envelopes, and paper can add up if you’re constantly sending out invoices, bills, and advertisements. Try to do everything through email if possible. It can also be more efficient if you create an online contact list for all your customers.
  2. Stop the Print - Printing records and other business materials can be extremely expensive. Between the ink, printers, filing cabinets, and space to store everything you will spend an arm and a leg just to have your documents on file. Instead, back everything up to external hard drives. Just to be sure, also back everything up to a cloud storage service.
  3. More Than Punctual - It’s important to pay all of your bills and invoices on time. However, if you pay these early enough or in full, some vendors and suppliers will offer a discount. If you have the cash on hand you could save a couple extra bucks!
  4. Go VoIP - Stop paying hundreds, if not thousands of dollars for your current phone provider. Cut the phone cord and switch to a VoIP service. By using your internet to place calls, you could be saving up to half on your monthly phone bills.
  5. No Travel - Why spend the money on plane tickets, cab fares, hotels, and food when you can turn a business trip into an online phone call. By utilizing your VoIP service, you can chat via phone call or webcam on an online conference. The days of roaming all over the country, or world, are in the past!

Finding ways to save your business money will allow you to reinvest that money to grow your business at a faster rate. When you decide to save money and switch to a VoIP service, contact the experts at Reliable Voice & Data Systems. To learn more, or to schedule a free estimate, give us a call at (877) 385-6657.
